Fall 2020 Move-In Day Information

The health and wellness of our students, staff, and guests is of paramount importance. To that end, Residential Living and Learning has made changes to the Move-In process. Our three (3) goals for this process are:

  1. Reduce risk for students, staff, and guests
  2. Emphasize Efficiency
  3. Promote healthy behaviors

Highlights of Move in Days for Fall 2020:

  1. Centralized check-in process in parking lot 4 (in front of Halladay Student Services Building)
  2. One hour (1-hr) timeslots for move-in. Students must arrive at their appointed time.
  3. Masks are required for students, staff, and guests throughout the move-in process.
  4. Guests for Move in Days Fall 2020 are limited to two (2) people in addition to the student moving in, in order to control density and distancing. Guests must depart at the end of their student’s designated timeslot.
  5. You are encouraged to bring your own moving supplies such as carts and dollies as none will be loaned out communally by RLL during Move in Days 2020 to prevent the spread of germs.

Check-In (Centralized)

RLL will be utilizing a central Check-In process for all students and guests. Doing so allows us to streamline our process and ensure all requirements (e.g. masks and the University-required COVID training) are met, questions answered, and limit bottlenecks at the residence halls and apartments. After checking-in at the central location, students will be directed to their residence hall/apartment. Upon arrival, the student will be greeted by RLL staff and volunteers and directed where to park. Plan to arrive 15-30 minutes before your timeslot to get through the check-in process.

What to Expect When You Arrive

  1. You will be directed to one (1) of six (6) check-in lines by RLL staff.
  2. Remain in your vehicle. Our staff will come to you.
  3. We will ask:
    1. Verify full name and CWID
    2. Provide proof of COVID-19-required training
    3. Provide confirmation of having signed the contract addendum
    4. How many guests you are bringing
    5. Contact phone number
  4. We will give you a welcome packet and directions for moving into your hall; including:
    1. One (1) university-issued cloth mask to each resident
    2. Up to two (2) disposable masks for guests assisting with move-in
    3. Directions for moving into your residence hall
    4. Placard for each vehicle dashboard that provides time allotted for moving
    5. Physical room key (applicable building)
    6. COVID-19 Wellness Checklist
    7. Additional information from the University

To aid in the flow of traffic and the extensive parking demands, please follow the outlined process and assigned parking areas. Please note that students will need to promptly purchase parking decals to avoid receiving tickets starting the first day of classes.

Traffic and Parking

Whitley Hall, Pride Rock, Phase 2, Phase 3, and West Apartment parking lot(s) will be used for unloading purposes only. Staff will be present to guide vehicles in the lot to unload belongings. After your move-in timeslot has elapsed, your vehicle must be moved to Lot 19 on Walnut and Bois D’Arc Street.

F-Hall residents may park directly in front of their building or in Lot 6 or Lot 7. Please remember to purchase the designated F-Halls parking decal to avoid receiving tickets. The general resident decal is not valid for F-Hall parking.

Prairie Crossing Apartments residents will use the adjacent parking garage. Vans, U-Hauls, and other large moving vehicles will not fit in the parking garage. For unloading these vehicles, you will need to utilize the back entrance on Mayo Street. Please remember to purchase the designated Prairie Crossing parking decal to avoid receiving tickets. The general resident decal is not valid for Prairie Crossing parking.

Front Desk Hours

24-hour desk operations in the residence halls will begin on Wednesday, August 19 at 8:00am. All residents must have their Student ID. Apartment desk hours will be 10am-10pm daily.

Reminders & Updates

Residents should bring their own moving supplies with them. RLL is not able to provide carts and dollies at this time.

Each resident is limited to two guests to assist with their move-in. Guests must depart after the resident’s timeslot has elapsed.

Masks are required for everyone.

Day and overnight visitation within the hall is prohibited in order to better manage the health and wellness of the community.

All residents must have completed the required university COVID-19 training prior to move-in.

All residents must be registered for classes to reside in the hall. The only exceptions for move-in are students participating in the International Orientation the week of Opening.

To receive mail, residents must obtain a U.S. Post Office Box. Mail is not delivered to the Residence halls. The U.S. Post Office has a branch on campus located south of the Football Stadium. They require a letter of residency from the Office of Residential Living and Learning that can be obtained from the front desk of your residence hall during move-in and in the main RLL office located in Halladay Student Services once classes have started.
